Invoice & Transactions Tutorial
Learn how to create, update, and track invoices, filter records, change payment status, and review transactions. Perfect for school admins, accountants, and tutors who need simple and clear billing management.
Step 1: Navigate to the Invoices Section
From the left sidebar, go to:
Reports → Invoices
You’ll land on a tabbed page with:
Summary – high-level view of families, balances, and invoice health.
Invoices – detailed list of issued invoices.
Transactions – payments, refunds, charges, and discounts.
Step 2: Understand the Financial Summary (Overview)
Total Families – how many families are active in your billing cycle.
Owing – amount not yet received.
Prepaid – advance payments received (credit).
Total Invoices / Paid / Unpaid – breakdown with values and counts.
This helps you instantly know the health of your revenue cycle.
Step 3: View and Manage Invoices
Go to the Invoices tab to see the full list:
Invoice Number
Client (family)
Issue & Due Dates
Amount & Balance
Currency
Status (Pending, Paid, Void)
Quick Actions (three dots on right):
Change Status (Refund)
- Download the invoice PDF
Step 4: Use Filters for Fast Navigation
Click Filters to refine search by:
Invoice ID
Client
Invoice/Due Dates
Status
Use Sort to organize by date, name, or amount.

Q: How do I know which invoices are unpaid?
Go to the Invoices tab, sort or filter by status “Pending” or “Unpaid Invoices” box in the header.
Can I track manual vs. online payments?
Yes, in the Transactions tab, the payment method appears clearly (Stripe/Manual).
What happens when I void an invoice?
It’s marked inactive and won’t reflect in balances — useful for errors or canceled services.
How can I view only one family’s invoices?
Use the Client filter under the Invoices tab.
