Payroll & Summary User Guide

This guide explains how to view, manage, and export payroll data efficiently. You’ll learn how to review earnings, track payments, manage deductions, and access summary reports for tutors and staff.

Step 1: Accessing the Payroll Section

  • Log in to your account.

  • From the left-hand menu, go to Reports > Payroll.

  • You’ll land on the Payroll tab by default. You can toggle to Summary using the top tabs.

Step 2: Understanding Payroll Dashboard

At the top of the page, you’ll see key payroll statistics:

  • Total Earned (€): Sum of all credits and lesson earnings for the selected date range.

  • Duration: Total logged lesson time.

  • Payments: Amount already paid out.

  • Deductions: Total deductions applied to the tutor.

Step 3: Reviewing Payroll Entries

Each entry in the table provides detailed breakdowns:

StudentStudent name (if applicable)
DateDate of the lesson or transaction
Type"Lesson", "Earning", or "Deduction"
DurationTime spent on the session (if applicable)
Pay RateHourly rate of the tutor
EarnedAmount earned for that session or bonus
PaymentHow much has been paid out for that entry
StatusCredit, Debit, or Not Marked
 

? Tip: Entries marked "Not Marked" indicate sessions that need admin review or approval.

Step 4: Managing Payments & Deductions

  • Click Export CSV (green button) to download all visible payroll data.

  • Use this report for:

    • Internal accounting

    • Payroll approvals

    • Backup records

Step 5: Export Payroll Reports

  • Earning: Manually added credits, such as bonuses or adjustments.

  • Deduction: Penalties or withheld amounts (e.g., late fees).

  • Lesson: Session-based earnings, requires marking and admin review before payout.

To manage:

  • Admins can approve, adjust, or mark sessions for final processing.

Optional: Payroll Summary Tab

  • Navigate to the Summary tab to view:

    • Total active/inactive staff

    • Remaining payroll budget

    • Staff details (roles, rates, joining dates)

    • Clicking on each staff Name will redirect you to the detail page of each staff / emplyee page.
